Who receives your information?
Enquiries are sent to the Labotics office mailbox and a separate copy to the e-mail address you enter. Access within Labotics is limited to people handling the enquiry and the associated administration.
- OpenAI Sites and Cloudflare provide website hosting, delivery, operational information and security.
- Cloudflare Turnstile verifies the contact form against bots. The check loads when you open the form and processes network and browser security signals. The server checks the resulting token before sending an e-mail.
- Resend delivers the enquiry and your copy. The configured sending region is Ireland.
- Our mailbox provider and your e-mail provider process messages as part of e-mail delivery.
We do not sell your personal data or use a website enquiry to subscribe you to marketing. We may disclose information when legally required or necessary to establish or defend legal claims.
Processing outside the EEA
Hosting, security and e-mail providers operate internationally. Selecting an EU sending region does not mean that all support, administration or subprocessor activity stays within the EEA. Resend describes its processing arrangements and standard contractual clauses in its Data Processing Addendum. Details of hosting and security processing are available in the OpenAI privacy policy and Cloudflare privacy policy. You can contact us for information about the safeguards applicable to your enquiry.
How long we keep data
- Ordinary enquiries that do not lead to an order: no longer than 12 months after the last contact, unless a legal obligation or a specific legal claim requires longer retention.
- Customer, contractual and accounting records: retained according to the applicable legal obligations and the duration needed to manage the contractual relationship and any legal claims.
- Resend delivery records: the current Free plan retains e-mail and log data for 30 days. This is separate from the messages in the Labotics mailbox.
- Technical and security data: processed for the period needed for security and service operation, subject to the hosting and security providers’ retention rules. Our form does not create a database of enquiry content.
Cookie and browser-storage lifetimes are described in our cookie notice.
Your rights
Subject to the conditions in the GDPR, you may request access, correction, erasure, restriction or portability of your personal data. You may object to processing based on legitimate interests. Where processing is based on consent, you can withdraw that consent without affecting earlier lawful processing. We do not make decisions about you with legal or similarly significant effects solely through automated processing.
To make a request, send us an e-mail. We normally respond within one month. We may request proportionate information to confirm your identity. You may also complain to the Belgian Data Protection Authority, Rue de la Presse 35, 1000 Brussels, or your local supervisory authority.
Security and changes
We use HTTPS, server-side input checks, form verification and abuse controls. No online service can guarantee that every attack will be prevented. This notice will be updated when the website’s processing changes.
